Office Manager

Supervisor: Associate Director
Status: Full-time, salaried monthly, exempt status
Direct Reports: Three front office associates
Salary Range: $70,000 to $80,000
Position Available: Mid-May 2026

PACER Center is a nonprofit organization dedicated to supporting families of children and young adults with disabilities through parent training and advocacy, assistive technology, and social inclusion programs. Established in 1977, PACER employs approximately 50 staff and helps thousands of families annually access services for their children by providing individualized support, training, and information services, as well as extensive online resources.

Role summary

The Office Manager coordinates building and front office operations to ensure PACER Center is a welcoming, organized, and functional environment for staff and visitors. They oversee the reception desk, incoming and outgoing communications and deliveries, and maintenance and upkeep of the building. The Office Manager supervises a front office team that completes various administrative tasks to support PACER’s programs and operations. This position works closely with other departments to identify process improvements and coordinate administrative support needs.

Responsibilities and roles

Front office and administrative support

  • Supervise front office staff through coaching, training, and delegation of work to team
  • Ensure reception desk and front office is adequately staffed at all times by proactive management of scheduling and PTO requests, and flexibility to fill in when needed
  • Oversee program-related data entry that is completed by front office team
  • Ensure copying, mail, shipping, and faxes are processed in a timely manner
  • Oversee distribution of inbound messages received by voicemail, email, and web forms
  • Partner with other staff on front office support for relevant administrative tasks
  • Recommend and implement process improvements to strengthen organizational effectiveness and efficiency

Building management

  • Coordinate maintenance contracts for the building, including negotiation with vendors
  • Ensure regular ongoing building maintenance is completed, such as sprinkler system, window cleaning, fire inspections, HVAC tune-ups, etc.
  • Manage general upkeep and cleanliness of building through communication with cleaning service, working with handyperson on maintenance and repairs, and completing some maintenance tasks
  • Order and maintain adequate inventory of office supplies, equipment, and materials; compare pricing to ensure cost-effectiveness.

Other

  • Assist with logistics for special events, such as coordinating volunteers, managing registration, or other tasks as needed
  • Crosstrain on finance administrative functions and provide backup support as needed
  • Coordinate with technology coordinator on issues related to phone and security systems, copiers and printers, and other office technology
  • Other duties as assigned

Required qualifications

  • Three years’ experience in similar position, including supervisory role
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail
  • Ability to communicate effectively in person, over phone, and by email with internal and external stakeholders
  • Self-starter with ability to work as part of a team
  • Ability to handle confidential information with discretion
  • Comfortable using basic math skills—such as calculating totals and percentages—to review data and cost proposals for accuracy and consistency
  • Technological proficiency in Office 365, databases/spreadsheets, and willingness to learn new technologies
  • Ability to maintain accurate records, tracking systems, files, etc.

Physical requirements

  • Prolonged periods working on a computer
  • Ability to lift and carry at least 25 lbs., move office tables and chairs, and occasionally climb on ladder
